- Fill at least 90 percent of requested ICAP Member positions each year, including positions vacated by a Member due to early termination, by pre-approved enrollment dates.
Member Retention:
- Work to maintain at least a 90 percent retention rate by taking steps to prevent early member exits.
Retention of Records
- Iowa Campus Compact will retain all member records in compliance with AmeriCorps regulations. It is suggested that site supervisors maintain copies of member records for their own documentation.
Monitor Service Hours and Activities
- One extremely important role of the campus site supervisor is to monitor the number of hours a member has served through the IowaGrants timekeeping system in order to verify that member's eligibility for the education award.
- Service hours are monitored through the use of the IowaGrants timekeeping system. Site supervisors must approve service hours on a monthly basis. It is important for site supervisors to monitor the rate at which a member is completing the service hours to insure that he or she will be able to complete the term requirement within the year.
- Because AmeriCorps focuses on "getting things done", members will also be required to keep track of their service hours. These activities will be reported on the monthly timesheet. Members will also keep track of program performance measures.
Assists in completion of paperwork:
- Ensure the member completes his or her enrollment paperwork in a timely manner.
- Submits member paperwork no later than 20 days after the member's start date.
- Ensure Members complete the exit packet no later than 20 days after their last day of service as listed on the member's IowaGrants timesheet.
- Submit the member's exit packet no later than 20 days after their last day of service as listed on the member's IowaGrants timesheet.
- Documents member completion of required AmeriCorps trainings.
- Documents any changes in member service sites and/or the member's service agreement.
Compliance with AmeriCorps Regulations:
- Ensure Members attend program orientations, adhere to all policies, and complete all program requirements and paperwork on time to successfully complete their term of service.
- Verify and track Member hours at Service Sites and approve hours on time via the online timekeeping system, ensuring Members are adhering to limits on fund-raising and training hours.
- Ensure Member Service Sites are aware of and adhere to ICAP, CNCS, and ICVS policies and guidelines regarding member service, prohibited activities (see below) and background checks.
- Ensure Members will not be assigned to activities that would displace employed workers.
- Provide Accidental Death and Dismemberment coverage to all ICAP Members. IACC is not liable for providing Accidental Death or Dismemberment coverage or other health care or liability related costs for any parties involved in ICAP.
Background Checks:
- Submit all required background check information within 30 days of a Members’ start of service, including the National Sex Offender Registry, State of Iowa criminal background check, and FBI fingerprint check.
- FBI background checks, including fingerprinting are the site supervisor's responsibility. Per federal regulations, all background checks must be initiated prior to the Members' start date and Members must be supervised at the Service Site until background check results are received.
Member Communication and Training:
- Hold regularly scheduled meetings with Members, provide required orientation and training, submit required paperwork on time, and be accessible for Members to answer questions.
- Promote ICAP and AmeriCorps appropriately throughout recruitment and in materials related to the program, including displaying a provided AmeriCorps poster in supervisor staff offices.
Communications with Iowa Campus Compact:
- Attend and participate in Supervisor conference calls and trainings.
- Notify IACC within three business days upon notification of any occurrences that may cause a Member to be terminated from the program early (death in the family, illness, desire to end term early, etc) or in a timely manner if members are non-responsive and/or not completing hours.
